Assign musicians to each service

When not every musician in the roster goes to every service (the flutes take turns, a section skips a rehearsal), the assignment by service says who takes part in each one, instrument by instrument. Only the musicians in the project’s general roster appear: how to prepare it is explained in Prepare a project’s roster.

  1. In the project, go to Roster and click Assignment by service in the left panel, under the general roster. You can also click the grid icon in the header of an instrument in the roster, which opens that instrument directly.
  2. Choose the instrument in the chips at the top. They follow the roster order and show how many musicians each one has.
  3. In the table, the project’s services are the rows and that instrument’s musicians are the columns. Tick who goes to each service. The buttons with the count tick or clear a whole row (Everyone in this service) or a whole column (In every service), and the one in the corner, the whole table.
  4. Click Save. To move to another instrument, save first.

Under each service, a bar compares how many are going with what the instrumentation of that day’s pieces requires: green if it matches, amber if some are missing and blue if there are too many. Hover over it to see the numbers.

To open a service and edit it, click its date.

  • In a service with an assignment for an instrument, only the ticked musicians of that instrument take part. It counts for the service roster and its downloads, for each musician’s calendar, for the services in their contract and for the apps.
  • In a service with no assignment, the usual people take part: those from the service’s ensembles or, if its blocks have pieces, those in them. They appear in a lighter tone in the table.
  • It applies when you save, even if the roster isn’t published, and nobody is notified of the change.
  • Who sees it: it’s decided by the Assignment by service permission of each access role, with its scope. By default, whoever manages projects sees all of it and a musician only sees their own instrument’s, and in percussion the whole section’s.

The assignment and the pieces in the blocks

Section titled “The assignment and the pieces in the blocks”

If a service has pieces in its blocks, the assignment and those pieces’ rosters adjust on their own:

  • If you remove someone from a day’s assignment, they leave that day’s pieces.
  • If you add them, they join that day’s pieces whose roster includes them, in the place it gives them. Nobody else is moved.
  • If you add them by hand to a piece in a block, they join the assignment. If you remove them and they don’t play another piece that day, they leave it.
  • A piece you add to a block is loaded straight away with the musicians from its roster who are in that day’s assignment, and the same when you pass it on with Transfer to services: it doesn’t bring anyone who isn’t there that day.

In the table, a quaver in a box means that person is in that day’s pieces. If it’s crossed out and amber, they’re in the assignment but not in the roster of any piece that day. It still counts: the piece may not have been added to the block yet, or they may need adding to the piece’s roster.

  • For one instrument: in the assignment bar, click the Download this instrument's assignment (Excel) icon. Save your changes first.
  • For the whole roster: in the general roster, click the download icon in the bar and choose Assignment by service. You get an Excel file with one sheet per instrument.

In each sheet, «X» is someone in that day’s assignment and «(X)» someone taking part by default because there’s no assignment that day. At the end of each row you’ll find those assigned and what the instrumentation requires, in amber if some are missing, and at the bottom, how many services each musician does.

  • A musician doesn’t appear in the table. Only those in the general roster appear, under the instrument they have there. Add them to the general roster and save.
  • A musician has disappeared from a piece in a block, or has appeared in it. That’s the adjustment between the assignment and that day’s pieces. Check the assignment for their instrument.
  • You can’t tick a service. You don’t have permission to edit that service.
  • You don’t see the download icon. It depends on your access role: downloading the roster.
