Choose a project's technical team
In Team in the project menu you choose which of your institution’s technical staff work on it and, after that, who goes to each service: the set-up, stage management, loading. It’s a screen for technical staff: musicians don’t have it in their menu.
Choose the project team
Section titled “Choose the project team”- Open the project and go to Team in the left-hand menu.
- You’ll see the technical staff with a contract covering the project dates, grouped by department. Anyone without a department yet is grouped by job position. Each chip shows the name and, below it, the position.
- Click the people who work on the project. Nobody comes ticked: you choose them for each project. To tick or untick everyone at once, use Add everyone and Remove everyone, and the search box to find someone.
- Click Save.
If you remove someone from the team, when you save they’re also removed from the project services they were assigned to.
If you need someone who isn’t there, hire them from here: click the person icon with a + on the technical staff card, Hire for this project. A new technical staff contract for this project opens, with the dates of the project’s working period (or of their services, if they’re already in some). Find the person, complete the contract and save it: they join the team automatically.
A chip with a warning belongs to someone with an approved absence during the project dates; hover over it to see which. In orange, the absence covers only part of the project: you can add them, but Weikos asks you to confirm. In red, they’re absent during the whole project (sick leave, a leave of absence) and can’t be added.
Say who goes to each service
Section titled “Say who goes to each service”A service doesn’t inherit the whole team: in each one you tick who goes. There are two ways to do it.
All services at once. On the Team screen, switch views with the toggle at the top left and choose Assignment by service. The project’s services are in rows, with their date, time and type, and the team in columns. Tick each person’s box in each service and click Save.
If someone is absent on the day of a service, their box in that service is red, with the reason, and can’t be ticked.
One service at a time. Open the service in the work plan. Below Groupings there’s the Technical team card, with the project team unticked. Click the people who go and save the service. Anyone absent that day has a red warning and can’t be ticked.
If you duplicate a service, the copy has the same technical team. If you move it to another project, nobody is assigned.
Each chip also has a clock: it is that person’s margin before and after the services, in the project or in that service. How to set it is explained in Set up the service margin.
Publish the team for musicians
Section titled “Publish the team for musicians”Like the roster, musicians can’t see the technical team until you publish it.
- On the Team screen, click the eye icon in the top bar.
- Green means the team is published: Published: musicians can see it. Unpublish. Click it again to unpublish.
It applies as soon as you click, without saving.
What shows in the calendar
Section titled “What shows in the calendar”When you open a service in the calendar, the Artistic team card has the conductors, soloists and ensembles, and below it Technical team appears when someone is assigned to that service.
- Musicians only see it once the team is published.
- Technical staff also see it unpublished, in amber with the notice Not published: musicians cannot see it. If you can edit it, the pencil next to the title opens the project’s assignment by service.
The apps show it the same way, in the service details.
For technical staff, My events holds the services they’re assigned to, in the apps too. And if their contract is only for this project, the list of services in their contract also shows only those.
Notify only the people going
Section titled “Notify only the people going”In service notifications, the Technical team block has a scope: All technical staff or Only those assigned to the event. You choose it in the institution’s notifications, in Settings › General settings › Notifications.
If it doesn’t work
Section titled “If it doesn’t work”- Nobody appears, or someone is missing. Only technical staff with a contract covering the project dates appear. Check the dates and the specialty of their contract.
- A chip is grey with a red warning and can’t be clicked. That person has an approved absence covering the whole project. If that’s wrong, check the absence in Leaves.
- The service card says The project has no technical team. Choose the project team first: click Choose it in Team.
- Musicians can’t see who’s going. Check that the eye in the bar is green and that the person is ticked in that service.
- You don’t see Team in the project menu, or the eye is disabled. It depends on your access role, in the Project team permission.
