See and compare team performance
In Team › Performance you see your whole team at once, with what each person counts in a period: services, hours, days with services and projects. You can filter, sort and select several people to compare them.
Weikos counts the same way here as on each person’s page. A musician counts the services they take part in: the ones they are assigned to in the works, in the project roster or, if there is no roster, the ones of their ensemble and instrument. Technical staff count the services they are assigned to in the project’s technical team, with their margin before and after. Cancelled services and the types that are not in the work plan, such as breaks, never count.
See the performance
Section titled “See the performance”- Go to People › Team and click Performance.
- Choose All, Artistic or Technical.
- Choose the period: This week, This month, This season, the arrows to move to the previous or next one, or your own dates.
- To narrow it down, click the filters button on the right and choose Department, Ensemble, Specialty, Section, Instrument, Category or Job position.
- Click a column name to sort by it.
At the top you have the group totals: Counted services, Counted hours, People with services and projects. Below, in By person, one row per person. What counts comes first: the value of each service and its duration according to its type. If it doesn’t match what really happened, the real figure goes in brackets, and for technical staff, also the time that is margin.
The list shows the people who have a contract on some day of the period. Click one to open their page with the same period.
Choosing the right filters
Section titled “Choosing the right filters”- Section, instrument and category are for musicians. If you choose another specialty, they disappear.
- The instrument list only shows the ones in the section you chose. Each instrument includes its family: choosing violin 1 also brings violin 2.
- You can pick several instruments and categories. For example, trumpet and clarinet with the soloist category leaves you with the soloists of those two instruments.
- The department includes whoever has it in their contract and the musicians of the department’s ensembles.
- The job position is for technical staff.
Compare several people
Section titled “Compare several people”- Tick the box of two or more people.
- Click Compare (…).
- You’ll see their services, hours, days and projects side by side, and below, what each one did in each project. You can change the period without closing the comparison.
Download the performance to Excel
Section titled “Download the performance to Excel”Click Download. The Excel file has what you see: the same period, filters and search. It has two sheets: one row per person, with their counted and actual services and hours, the margin, days and projects, and another with what each person did in each project. Hours are in decimals, so you can add them up.
If you have people ticked, the button says Download (…) and the file only has those people.
If it doesn’t work
Section titled “If it doesn’t work”- You don’t see Performance. Your access role doesn’t have the Team performance permission. If that is the only permission you have, you go straight into the performance view in Team.
- You don’t get the boxes or the compare button. Your role can see the performance but not Compare people.
- You don’t get Download. Your role doesn’t have Export in the team performance.
- Some people are missing. Your role may limit you to your department, your ensembles, your instrument or yourself. Also check the filters and that they have a contract in the period.
- A service doesn’t count. It is cancelled, its type is not in the work plan, or the person doesn’t take part in it. If its type is worth 0 services, it counts 0, and the real figure stays in brackets.
- You can’t open someone’s page. Your role doesn’t let you see their contract.
Talk to the person who manages your institution if you need another permission. If a person’s page and their row in the performance view don’t match for the same period, write to us at help@weikos.io with a screenshot.
What your institution decides
Section titled “What your institution decides”- Who sees the performance, of whom, and who can compare and export: the Team performance permission of each access role, with its scope. With Their instrument, for example, someone sees the people who play their instrument in their ensembles. Access roles explains it.
- How much each service type is worth and how long it lasts: Organize the work plan explains it.
- The technical staff margin, in Set up the service margin.
