Set up the service margin

Technical staff often arrive before a rehearsal and stay afterwards: setting up, packing away, opening the hall. The service margin is those minutes before and after, added to what each person counts on their page and in the team performance. It doesn’t change the service in the calendar or what musicians see.

The margin goes from the general to the specific: the institution, the department, the job position, the person’s contract, the project team and the service. Each level changes the one before it. An empty field inherits, and a 0 cancels it.

  1. Go to Settings › General settings › Team › Service margin.
  2. In General, type the minutes for Before and After. It saves when you leave the field.
  3. Below, in departments and job positions, change the ones that need it. If a person has a margin from their department and from their job position, the job position wins.

At first only the departments and job positions with someone in them or with a margin already are shown. To see the rest, click Show all (… more).

  1. Open their contract.
  2. In the time tracking card, the Service margin line tells you the margin they have and where it comes from: general, their department or their job position.
  3. Click Change, type their minutes and save the contract.
  1. In the project’s technical team, or in the technical team card of a service, each person has a clock on their chip. Faded, it inherits; with minutes, they have their own in that project or that service.
  2. Click the clock. You’ll see what they would inherit.
  3. Type their minutes and click Save.

In the project’s assignment by service, the box of anyone with their own margin in that service has a clock, with the margin in its tooltip. Choosing and assigning the team is explained in Choose a project’s technical team.

Each service runs from its start minus the margin before to its end plus the margin after. If two of the same person’s services overlap, the shared time is counted once, and the margin after never goes into the next service. For example, a rehearsal from 10:00 to 13:00 with 15 minutes after and another from 13:30 to 15:00 with 30 minutes before count 5 hours and 45 minutes, not 6 hours. On the person’s page, the service tells you how many minutes of margin were already counted in the other one.

An all-day service has no margin.

  • The margin doesn’t show on a person’s page. It only counts for technical staff (Administration, Administrative or Production specialty) and in the services they are assigned to.
  • The margin is smaller than the one you set. It overlaps with another of the person’s services or reached into the next service. Hover over it to see how much was already counted.
  • A department or job position is missing from the settings. Nobody has it yet: click Show all (… more).
  • You can’t change a level. Your access role doesn’t let you edit that part: the general one goes with the contract preferences, and the others with departments, job positions, the contract, the project team or the service.

Talk to the person who manages your institution if you need another permission. If the counted margin doesn’t come from any level you can see, write to us at help@weikos.io with a screenshot.
