Organize tasks
Tasks help you share out the technical team’s work: what needs doing, who’s in charge, by when and where it stands. They can be linked to a project. They’re created and managed on the web; each person also sees their own in the calendar, in the apps too.
Create a task
Section titled “Create a task”- Go to Dashboard › Tasks and click Add. If it belongs to a project, create it from the project, in its Tasks section, and it will stay in that project.
- Enter the Task name and, if you like, the Description.
- Choose the Status and the Deadline.
- In Assignments, choose who’s in charge in Responsible, the project and the tags. To take it yourself, click the person icon next to the assignee.
- If only the assignee should see it, turn on Private task.
- To attach files, click Add files. PDFs and images are accepted.
- Click Save.
Only technical team members with a current contract can be assignees. The assignee doesn’t get any notice: tell them yourself. If the task has a due date, they’ll see it in their calendar.
Follow tasks
Section titled “Follow tasks”- What you see: the list starts on My tasks; click All to see the whole team’s. Completed tasks don’t appear until you turn on Show completed. To narrow it down, use the search box, tags or Advanced filters: assignee, project and due date. An overdue due date shows in red.
- List or board: with the Kanban icon you see tasks in columns by status: To do, In progress, In review and Done. The “+” on each column creates a task with that status.
- Change the status: in the list, each row’s status icon moves to the next status with every click, or use the ⋮ menu › Change status to:. On the board, drag the card to another column. Both are saved straight away.
- Edit and comment: click the task to open it. Change what you need and click Save. In Comments, write and click Comment: the comment is posted without saving the task.
Several tasks at once
Section titled “Several tasks at once”In list view, select the tasks and use Actions:
- Change status.
- Assign › Responsible..., Project..., Tags... or Due date.... If you apply an empty assignee, project or date, it’s removed; tags are added to the ones each task already has.
- Delete selected.
To delete a single one, open the ⋮ menu on its row and choose Delete. It can’t be undone. To get the list into Excel or CSV, click Export: the selected tasks are exported or, if you don’t select any, those that match the filters.
Your tasks in the calendar
Section titled “Your tasks in the calendar”The calendar shows the tasks assigned to you that aren’t completed and have a due date.
- Go to Dashboard › Calendar. Your tasks show in purple, on their due date. To show or hide them, use My tasks in the left column.
- Click a task to see its details. If it’s overdue, it shows Overdue.
- Click Mark as completed. Its ⋮ menu also has Edit task, Go to project and Delete task.
For a few seconds you can undo a task you completed or deleted from the calendar. If you can edit the calendar, drag the task to another day to change its due date.
- In the Calendar tab, tap the calendar icon at the top left and, in Calendars, turn on My tasks.
- Tap a task to open Task detail: its project, due date, tags, details and comments.
- Tap Mark as completed.
- In the Calendar tab, tap the calendar icon at the top left and, in Calendars, turn on My tasks.
- Tap a task to open Task detail: its project, due date, tags, details and comments.
- Tap Mark as completed.
If it doesn’t work
Section titled “If it doesn’t work”- You don’t see a task you’ve just created. The list is on My tasks and the task belongs to someone else or has no assignee: click All. If it’s completed, turn on Show completed. Filters are remembered from other visits: click Clear filters.
- The Done column is empty. Turn on Show completed.
- Nobody else can see a task. It’s private: only its assignee sees it.
- You can’t turn on Private task. Choose the assignee first.
- Someone doesn’t appear as an assignee. Only technical team members with a current contract appear.
- A task isn’t in your calendar. It has no due date, it’s completed or it isn’t yours. In the apps, check that My tasks is turned on: it only appears if you’re on the technical team.
- You don’t see Tasks in the menu. Your access role doesn’t include it. Talk to the person who manages your institution.
