Prepare the program and instrumentation

The program is a project’s pieces, in the order they’re performed. The instrumentation says how many instruments of each type each piece needs, and the roster is prepared from it. Musicians see the program and each piece’s formula on the web and in the apps.

You need permission

This option only appears if your access role allows it. If you don't see it, ask the person who manages your institution to review your role.

Add pieces to the program

1. In the project, go to Program.
2. Click Explore to search for the piece by composer and title. In Search works, click Add to program on the one you want. You’ll see Piece successfully added
3. If you can’t find it, click Create and enter the composer, title, duration and, if it has any, the Movements. Click Save, or Save and create new to add another.
4. Drag the rows to order the program.

Pieces you add with Explore come with their instrumentation. If a piece has movements, its duration is the sum of the movements and isn’t typed in by hand.

Set a piece’s instrumentation

1. In Program, click the piece.
2. In Ensemble, enter how many instruments of each type it needs. With the list icon, add instruments to the same desk, for example flute and piccolo. If you can’t see the instrument, expand the list.
3. The formula is written automatically from what you enter. Click Save.

Remove a piece from the program

In Program, click the bin on its row and confirm with Delete. The piece is also removed from the blocks in Planning and from its roster. It can’t be undone.

Check the project’s instrumentation

In the project, go to Instrumentation:

• General orchestration adds up what all the pieces need.
• Orchestration by work shows each one’s formula. Copy formula copies it, and the pencil, Edit in program, takes you to the piece.
• Export downloads it as a Word document.

When the program is ready, continue with Prepare a project’s roster.

If it doesn’t work

• The search says Searching in your catalog only. Your access role only searches the pieces your institution already has. If you can’t find it, create it with Create.
• You don’t see Create or can’t drag the pieces. Your access role doesn’t allow editing the program. Talk to the person who manages your institution.
• You can’t change a piece’s duration. It has movements: change each movement’s duration.
• Instrumentation says No orchestration defined. None of the pieces in the program has instrumentation. Set it on each piece.

If a piece you added doesn’t appear in the program or the instrumentation isn’t saved, write to us at help@weikos.io with the link to the project.

What your institution decides

Depends on your institution

Who can edit the program and search for pieces outside your institution’s catalogue is decided by their access role. If you need it, ask the person who manages your institution to review your role.

We will never ask you for your password or bank details by email. If you receive a message asking for them on behalf of Weikos, don’t reply and write to us at help@weikos.io.
