Sync your calendar with Google Calendar

Weikos can create calendars named “Weikos · …” in your Google account and keep them up to date with your services: rehearsals, concerts and gigs. The copy only goes from Weikos to Google: what you change in Google doesn’t reach Weikos. When Google asks for permission, tick the Google Calendar box, which is unticked by default.

  1. Click your photo or initials at the top right › Account.
  2. In Integrations, click Configure on Google Calendar.
  3. Click Connect with Google and choose your account.
  4. On Google’s screen, tick the box for access to Google Calendar and continue.
  5. Back in Weikos, in Calendars, turn on the ones you want: My events, your Groupings and, if you work in the technical team, Own spaces. Each one creates a “Weikos · …” calendar in Google.
  6. While they’re copied you’ll see the percentage. You can close the screen: services keep arriving on their own.

What gets copied: only services, not tasks or leaves, from the last three months up to two years ahead. The same services you see in your Weikos calendar arrive, and each change reaches Google within a minute or two.

  • Turn off a calendar: switch it off and confirm with Delete calendar. It’s deleted from Google with all its events. If you need it again, turn it back on and it’s created again.
  • Remove the connection: click Disconnect and confirm in Disconnect Google Calendar. The “Weikos · …” calendars are deleted from Google.
  • It says calendar permission wasn’t granted. The Google Calendar box wasn’t ticked on Google’s screen. Connect again and tick it before continuing.
  • You’ve connected and nothing appears in Google. Connecting doesn’t copy anything on its own: turn on the calendars you want. Services appear within a few minutes. If you don’t see the “Weikos · …” calendar in Google, check that it’s ticked in Google’s calendar list.
  • You see services twice in Google. You have “My events” and your ensemble’s calendar turned on: “My events” has the services you’re assigned to and the ensemble calendar has all of its services, so yours appear in both. Keep only one turned on.
  • You changed or deleted an event in Google and it went back to how it was. The copy only goes from Weikos to Google, and Weikos rebuilds it on every update. If the service is wrong in Weikos, ask your institution.
  • A service is missing. If you don’t see it in Weikos either, see Find a service or project.
  • It says the connection has expired. Click or tap Reconnect, choose the same Google account and tick the box again. Your calendars are kept.
  • It says Your contract with this institution has ended. This calendar is no longer available. That institution’s calendar stays in Google with the services up to the end date. If you want to remove it, turn it off. If you have a contract with that institution again, it’s reactivated on its own.
  • An ensemble or a space doesn’t appear in the list. Only those from your current contracts appear, and own spaces only with a technical team contract. If you think you should have one, ask the person who handles your hiring.

If a change made in Weikos hasn’t reached Google after a day, or turning a calendar on or off gives an error that keeps happening, write to us at help@weikos.io with a screenshot, whether you use the web, iPhone or Android, and your institution.
